Using the Claims Service to report a loss

The Claims Service provides loss reports for most types of losses.

Log in to op.fi whenever convenient for you, file loss reports and print out documents yourself like certificates of insurance. Using the service requires a valid Agreement for Digital Transactions.

File insurance claims

You can file insurance claims with Pohjola Claims Service either through the op.fi service at hae-korvausta.op.fi or by using loss report links. The loss report links and services will be available in Finnish, Swedish and English.

Using the Claims Service and the op.fi service requires a valid Agreement for Digital Transactions. If your company already has an eInsurance Services Agreement, you need to update it to the Agreement for Digital Transactions.

Below, we will introduce all the different ways of filing a loss report in more detail. 

1. Filing loss reports in the op.fi service  

Filing a loss report is easiest and fastest when using the op.fi service if the person submitting the loss report has rights to the company’s insurance policies in the service.

Those company employees who do not have rights to the op.fi service can report losses at hae-korvausta.op.fi or by using loss report links. 

2. Filing loss reports at hae-korvausta.op.fi 

All of the company’s employees may not have rights to the company’s insurance policies in the op.fi service. If this is the case, the employees can file loss reports at hae-korvausta.op.fi, where they can report a new loss or supplement a previous report.

3. Filing loss reports using direct links

We offer loss report links that allow your company’s employees to report losses easily in the Claims Service. By law, only employers can file reports on occupational accidents. You can share the links to different types of loss reports in your company’s intranet, for example. The loss report links and services will be available in Finnish, Swedish and English. See the instructions below on how to activate the links for your company.

You can choose one of two links for each type of loss. Select the option that best suits your business:

Without approval (option A)

Choose this link if you want to allow your company’s supervisors or persons responsible for dealing with personnel, occupational safety and insurance matters to send your company’s loss reports to the insurance company for processing without separate approval.

Requires approval (option B)

Choose this link if you prefer that the loss reports must be first submitted for approval to the person responsible for the personnel, occupational safety and/or insurance matters in your company before they are sent to the insurance company for processing. With this option, an employee can file an accident report concerning their personal loss, but a company representative must approve it separately at op.fi. Add the email address of the person who approves loss reports in the Customer profile section at op.fi to ensure that a notification of new loss reports is sent to the correct person.

How to report a loss with links

  • Use the intranet link to open the loss report. Keep the policy number and the employer (policyholder) business ID at hand because you’ll need them for filing the loss report.  You will also need your online banking identifiers for identification. If possible, the intranet link should open on a separate tab to make it easier to copy the policy number and the business ID. 
  • The link will take you to the main page of the Claims Service and directly to the loss report for the type of loss you selected; for example, to the employee’s occupational accident report.
  • On the Claims Service main page, fill in the company’s policy number and business ID. After this, login to the Claims Service using your online banking identifiers or mobile ID issued by your bank or telecom operator.
  • The loss report’s questions will be adapted as based on the information you provided earlier. Finally, preview the report before sending it. 
  • You will be notified once the claim settlement decision has been made. If we need further information, we will contact you.

If the loss report needs approval from the person handling your company’s insurance matters

  • After you have filed the report, it will be saved at op.fi in the Insurance and claims section on the Drafts page.  
  • We will send an email to the person responsible for personnel, occupational safety and/or insurance matters in your company and named in the op.fi service as the party in charge of approving loss reports, informing them that a draft loss report has been saved.
  • The person who received the email will log into the op.fi service. The report can be found in the Insurance claims and losses section on the Drafts page. The approver checks the report and sends it to Pohjola Insurance for processing.
  • The report is then saved at op.fi and processed. You will be notified once the claim settlement decision has been made. If we need further information, we will be in touch with you.

Adding a recipient for the notification of a new loss report sent for approval

  1. In the op.fi service under Customer profile, select Organisational structure of the insurance and Show information. 
  2. First, add the policy code in the section Insurance policies of the unit. (NOTE! Currently, you can only add policy codes beginning with 78) 
  3. Select an insurance-specific option according to the direct link type your company uses. A direct link can be found for the following insurance lines: 
  • Workers' compensation insurance
  • Group accident insurance
  • Motor vehicle insurance 

Select the data type Approver of loss reports. You can add several email addresses for the data type by selecting +Add contact person. The maximum number of loss report approvers is 15 per insurance line. 

Occupational accident

Use this link if the loss concerns an occupational accident suffered by an employee or if the company’s occupational accident insurance includes leisure-time accident insurance for employees.
