1. Description of public access to documents

To implement the principle of public access, Pohjola Insurance (Pohjola) maintains a description of its data assets in accordance with the Information Management Act to the extent it applies to the operations of Pohjola Insurance. The description is referred to as the description of public access to documents and it covers the following case registers concerning insurance policies and compensation: 

  • Workers' compensation insurance, sports cover for professional athletes
  • Workers compensation claims, professional athletes’ sports cover compensation claims
  • Motor liability insurance
  • Motor liability compensation claims
  • Patient insurance

The purpose of the description of public access to documents is to assist customers when they want to request data from Pohjola Insurance.

2. The data assets of Pohjola Insurance

Data assets refer to all data sets that are used in tasks performed by authorities or in other functions and that are processed manually or by information systems.

At Pohjola Insurance, the data contained in data assets is processed by multiple different information systems. When needed, data assets can be used to compile summaries of the data related to a specific customer for example.  

The information systems of Pohjola Insurance are distributed. The information systems include systems related to customers, insurance, compensation and invoicing as well as debt collection.

2.1 Workers' compensation insurance and sports cover for professional athletes

Pohjola Insurance uses the case register data in insurance processing based on the Workers' Compensation Act. The data is needed in handling insurance-related matters, in customer service and communication as well as in complying with regulatory requirements. The data is also used to manage insurance transactions in accordance with the act on the accident and pension coverage of professional athletes.

2.2 Workers’ compensation claims and professional athletes’ sports cover compensation claims

Pohjola Insurance uses the case register data in claim processing based on the Workers' Compensation Act. The data is needed, among others, in handling claims, in customer service and communication, as well as in complying with regulatory requirements. The data is also used in handling insurance-related matters in accordance with the act on the accident and pension coverage of professional athletes.

2.3 Motor liability insurance

Pohjola Insurance uses the case register data in insurance processing based on motor liability insurance contracts. The data is needed in handling insurance-related matters, in customer service and communication as well as in complying with regulatory requirements.  

2.4 Motor liability compensation claim

Pohjola Insurance uses the case register data in claim processing based on motor liability insurance contracts. The data is needed in handling claims, in customer service and communication, as well as in complying with regulatory requirements.

2.5 Patient insurance

The case register data is used in insurance processing based on the Patient Insurance Act. The data is needed in handling insurance-related matters, in customer service and communication as well as in complying with regulatory requirements.

3. Search criteria used to retrieve your data from the systems

Data can be retrieved by the following search criteria. 

  • business ID
  • name of entrepreneur or company
  • personal ID code
  • customer number
  • policy code
  • offer number
  • invoice number.
  • name of person
  • claim code
  • policy code
  • document type
  • registration number
  • company granting the insurance.

4. How and where can you request data?

Requesting data concerning compensation

You can perform data requests that meet the conditions of the Act on the Openness of Government Activities while logged in at our website. 

You can also request data concerning workers’ compensation claims by email at tyotapaturmakorvaukset@pohjola.fi. If your data request concerns motor liability compensation claims, you may send it to liikenteen.henkilovahingot@pohjola.fi. You may also call our free telephone service for additional information.

Requesting data concerning insurance policies

Policyholders have access to an online service where they can view their insurance and invoice data. If the desired document is not on the online service or the online service is not available,  you can request data by making a contact request

You can also call us Monday to Friday 8.00–17.00 at the non-premium number 0100 5335 (local/mobile network rate applies).

Requests under the General Data Protection Regulation

In My profile at op.fi, you can view and manage your personal data, consents you have given and other information related to your customer relationship that relates to the personal data of your non-life insurance. In My profile, you can submit a separate personal data request, if required.
